Legal & Compliance

Privacy Policy

Last Updated: October 2026

1. Overview

BookMediators ("we", "us", or "our") operates the dispute resolution directory platform available at bookmediators.com. We respect the confidentiality requirements inherent to alternative dispute resolution (ADR) and legal proceedings. This Privacy Policy describes how we collect, store, transmit, and protect information collected from legal counsel, parties, and participating dispute resolution practitioners.

2. Information We Collect

  • Direct Inquiries & Booking Requests: When submitting an availability or appointment inquiry to a mediator via our platform, we collect your name, law firm or organization, contact email, phone number, preferred dates, and summary case notes.
  • Mediator Profile Data: For practicing mediators, we collect and publish verified professional bios, bar memberships, dispute specialties, fee structures, and administrative contact channels.
  • Google Calendar Data: If a mediator chooses to connect a Google Calendar, we collect the busy time ranges described in section 6. We do not collect the content of their calendar events.
  • Technical & Telemetry Data: IP addresses, browser user agents, and usage telemetry, used to secure our platform against spam, fraud, and denial-of-service disruptions, and, through the analytics described in section 3, to understand how the site is used.

3. Cookies & Analytics

We use a small number of cookies and similar technologies:

  • Essential cookies: keep you signed in to your account and protect sign-in. The site cannot work without them.
  • Analytics (Google Analytics 4): we use Google Analytics, a service provided by Google, to understand how visitors find and use BookMediators, for example which pages are visited and whether a mediator completes their profile setup. Google Analytics sets its own cookies and receives information such as the pages you view, your browser and device type, and your approximate location. We do not send Google your name, email address, or the contents of any inquiry or case notes. Google processes this information under its own privacy policy (policies.google.com/privacy). You can block analytics cookies in your browser settings or install Google's opt-out add-on (tools.google.com/dlpage/gaoptout).
  • Email links: links to bookmediators.com in emails we send carry tags that tell us which email a visit came from. Links to other websites, including any you include in an inquiry, are left unchanged.

4. Case Confidentiality & Inquiry Routing

Inquiry submissions and case descriptions submitted through mediator profiles are transmitted directly to the selected mediator and their designated case management staff via secure cloud infrastructure (AWS SES and encrypted databases). BookMediators does not sell, broker, or monetize confidential case inquiry data to third-party advertisers or data aggregators.

5. Data Retention & Security Standards

We implement industry-standard technical safeguards, including TLS encryption in transit and AES-256 encryption at rest. Audit logs of mutating platform actions are maintained without retaining raw sensitive client confidential data. We retain inquiry logs only as long as necessary to fulfill directory routing, combat spam abuse, and fulfill platform operational commitments.

6. Google Calendar Integration

A mediator may choose to connect a Google Calendar to BookMediators so that their profile reflects when they are genuinely free. This section applies only to mediators who connect one. It does not apply to visitors, to legal counsel submitting inquiries, or to mediators who do not connect a calendar.

  • What we read: the start and end times of events on the calendars the mediator selects, together with each calendar's name, identifier, and time zone. We request two Google scopes: calendar.calendarlist.readonly, which lists the mediator's calendars so they can choose which count as busy and reveals nothing about their events, and calendar.events, which also permits creating events, so that a later release can place mediation sessions booked through BookMediators onto the mediator's own calendar.
  • What we store: only the busy time ranges derived from those events, the address of the connected Google account, and the list of calendars chosen. We do not store event titles, descriptions, attendees, locations, attachments, or any other content of a mediator's appointments.
  • Credentials: the refresh token Google issues is encrypted with a dedicated AWS KMS key before being stored and is bound to the record it belongs to. Access tokens are never stored.
  • How it is used: calendar information is used only to calculate and display a mediator's availability, and to place sessions booked through BookMediators on their calendar. It is never sold, never used for advertising, and never used to train machine learning models.
  • Disconnecting and revoking access: a mediator may disconnect at any time from their BookMediators settings, which stops all synchronization. Busy times already recorded are retained and continue to show as unavailable until the mediator converts or clears them. Access may also be withdrawn directly from Google at myaccount.google.com/permissions.
  • Limited Use: BookMediators' use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
